To strengthen our team, we are seeking for a 1-year contract a HR Generalist (40% - 2 days per week “on site”). The HR Generalist will work closely with the Head of Finance and will delegate specific tasks and duties to the Executive Assistant SG/CEO

Mission

Managing existing and new operational HR tasks necessary for a team of approximately 30 employees.

1. Maintain employee records and ensure all documentation is up to date (physical and digital)

  • Ensure compliance with Swiss labour law and NGO's internal HR policies
  • Review the existing contracts and adjust them to the revised job descriptions 
  • Manage updates to HR databases and tools (e.g., Microsoft ERP, Office 365)
  • Monitor mandatory documentation (e.g., work permits, residency renewals)
  • Communicate relevant policy reminders to staff (e.g., annual leave balance)
  • Prepare and manage onboarding processes for new employees (e.g., contracts, policies, tools setup).
  • Conduct offboarding for departing employees, ensuring documentation, exit interviews, and system deactivation

2. Payroll Support and Absence Management

  • Provide necessary input to payroll processing
  • Oversee and verify monthly timesheets
  • Oversee the tracking and reporting of employee absences (e.g., vacations, sick leave, maternity/paternity leave, work from home)

3. Employee relations, Development and Recruitment 

  • Act as a point of contact for HR-related questions and minor issues, escalate more complex cases to management
  • Track completion of annual appraisal reviews and follow up where necessary
  • Maintain training records and assist in coordinating professional development activities
  • Assist with administrative aspects of recruitment processes (e.g., publishing job ads, scheduling interviews)
  • Collect applications and liaise with hiring managers
  • Coordinating the update and further development of the Code of Conduct. 
  • Prepare monthly/quarterly reports on HR metrics (e.g., absenteeism, turnover)

 4. Remuneration 

  • Build a transparent and consistent remuneration scale for all professions in the organisation

Profile

  • Swiss Federal certificate in HR or equivalent education
  • Previous experience of minimum 5 years as a HR Generalist in Switzerland
  • Strong command of spoken and written English
  • Previous experience in delegating
  • Self-confident, autonomous, and organised 
  • High sense of confidentiality
  • Very good communication and problem-solving skills
  • Able to work with a minimum of supervision
  • Deep understanding of employment laws and regulations in Switzerland

 Working days would ideally be Tuesdays and Wednesdays or Mondays and Tuesdays
